Creating Assets with Asset Import

If you have a lot of Assets to add to a Series, Feature, or Division and do not want to create them manually, you can upload a spreadsheet and import them in bulk.

Assets created this way will not have any Transaction data associated with them, although you can match Transactions to them after upload.

  1. While logged in to your Series/Feature, click Assets on the top navigation bar.
  2. Click Import Assets in the upper right corner.
Note: If you have previously downloaded the Asset Import Template and already have populated it with your data, skip to step 6.
  1. Download the Asset Import Template. You must use this template in the import process and the column headers cannot be altered in any way.
Warning: The column headings in the template cannot be renamed, reordered, or altered in any way. Additional columns cannot be added.
  1. Enter your data on the first tab of the spreadsheet. Asset Name and Department Code (#) are the only required fields for import. Other fields may be populated with data or remain blank. View the example tab to see the proper format.
Note: In order for Characters and Sets to populate during the import, you must ensure the Character/Set Codes are entered in your Project prior to upload. You must enter the code on the template and not the Character/Set name.
  1. Save your completed spreadsheet to your computer.
  2. Select the Project for the Assets.
    1. If the Project uses multiple Currencies, select the Currency for the Assets. All Assets listed on the sheet be linked to the same origin currency. If you want to upload Assets with multiple currencies, upload a separate file for each currency.
  3. Click Choose.
  4. Select the spreadsheet from your files and click Upload.
  5. Confirm your first Asset's data appears as expected under the headers on the left column.
  6. Scroll to the bottom of the page and click Import.
  7. Confirm the total number of Assets in the pop-up and click Continue With Import.
  8. Your Assets will be on the For Review tab of the Asset Index. You can make additional edits to your Assets prior to accepting them, if desired.
    1. If any required data is missing you will see Data Missing on the far right. Update the Assets to include the required data (for example, Disposition).
    2. When your Assets are ready to be accepted, you will see Ready to go! on the far right.
Warning: If you enter data in the Free Fields of the Asset Import Template, you will only see those values on the For Review tab. Use those fields as reference to enter the information in the appropriate AssetHub fields prior to accepting the Assets.
Note: You can upload Assets for any department, but you will only see Assets in departments you have access to.
  1. To move the Assets onto the Asset Index, check the boxes in line with your Assets.
  2. Click Add/Update.
  3. Click Accept Assets. You will now find your Assets on the Asset Index.


Asset Import History

  1. While logged in to a Series or Feature, click Assets on the top navigation bar.
  2. Click the Gear icon on the top right of the page.
  3. You will see a list of all Asset Imports and the number of accepted Assets and Assets For Review from each upload.
Note: Any user with the permission to Edit Assets can delete an Asset Import. Any Assets For Review will be deleted and accepted Assets will remain on the Asset Index. Click the Trash Can icon in line with an import, then click Delete.
