Managing Inventory

There are many ways to view and manage your Inventory list. Take advantage of the filters and columns available to you to customize the view of your Inventory.

To better manage your Inventory, you can assign each piece its own Status, Category, or Location. You can edit these fields on individual pieces of Inventory or in bulk.

Note: If you have multiple departments selected, you may notice fields that may not be relevant for your particular department.

Here are some fields specific to each department:

  • Costume: Character, Changes
  • Props: Character, Personal (denoted with a star, not a separate column)
  • Set Dec: Set

Statuses

Use Statuses to denote the status of a piece of Inventory. There are 4 Status options available by default:

  • Ordered
  • Received
  • Returned 
  • Shipped

Customize this list by adding more options or color coding Statuses for clear visual cues for you and your team.

To add or edit Statuses:

  1. Click Inventory in the top navigation bar. 
  2. Click the Horizontal Ellipsis
  3. Select Edit Custom Statuses.
  4. Make sure the correct department is selected: Costumes, Props, Set Dec.
  5. Click: 
  • Add Status to create a new status. Type a new selection in the field that says “New Status”.
  • The color dot to assign a color to a specific Status. 
  • The Trash Can icon to delete a status. This will clear the status for any piece of Inventory in your department using that status.
  1. Click Done.
Pro Tip: Use Bulk Update to assign multiple pieces of Inventory to the same Status.

Categories

The default list of Categories varies by department and these lists can be customized to work best with your production.

To add or edit Categories:

  1. Click Inventory in the top navigation bar. 
  2. Click the Horizontal Ellipsis button. 
  3. Select Edit Custom Types/Categories.
  4. Make sure the correct department is selected: Costumes, Props, Set Dec.
  5. Click: 
  • Add Category to create  a new category. Type a new selection in the field that says “New Category”.
  • The Trash Can icon to delete a category. This will clear the category for any piece of Inventory in your department assigned to that category.
  1. Click Done.
Note: If you overwrite or delete a Status or Category in the list, it will clear those Statuses and Categories for any pieces of Inventory that have been assigned to them.

Storage Locations

Storage Locations do not have any default options listed. To add options to the Storage Locations list:

  1. Click Inventory in the top navigation bar.
  2. Click the Horizontal Ellipsis button. 
  3. Select Edit Storage Locations.
  4. Make sure the correct department is selected: Costumes, Props, Set Dec.
  5. Click: 
  • Add Storage Location to type a new location. Type a new selection in the field that says “New Storage Location”.
  • The Trash Can icon to delete a storage location. This will clear the storage location for any piece of Inventory in your department assigned to that location.
  1. Click Done.

Bulk Updating Options

The Bulk Update feature allows you to perform the following actions in bulk:

  • Reassigning Inventory to a new Character
  • Reassigning a new Category
  • Reassigning a new Status
  • Reassigning a new Disposition (useful if you are tracking assets)

To bulk update your Inventory:

  1. Click Inventory in the top navigation bar. 
  2. Select the Inventory you want to update by checking the boxes on the far left. Check the box on top to select all of the Inventory on the page.
  3. Click Bulk Update.
  4. Only update the field(s) you wish to bulk update. 
  5. Click Save.

Pro Tip: Adjust the number of rows you can view per page by clicking on Rows per Page at the bottom of the list. You can view 25, 50, or 100 rows per page.
